The CanPromos Ordering Process in 5 Steps
Step 1 — Request a Free Quote (Day 1)
Browse our product catalog and either add items to your cart and submit through checkout, or fill out the Get a Quote form if you need help choosing. Tell us:
- The product(s) you’re interested in
- Estimated quantity
- Your in-hands deadline (event date, trade show, etc.)
- Any artwork or logo files you already have
What happens next: You’ll receive an automated confirmation email within minutes, followed by a personal reply from a dedicated CanPromos account manager within one business day.
Step 2 — Review & Confirm Pricing (Day 1–2)
Your account manager will check stock availability, validate decoration options (pad print, laser, embroidery, sublimation, etc.), flag any potential issues with your timeline, and send you a formal written quote including:
- Unit price and total
- Setup and artwork fees
- Shipping cost to your Canadian address
- Estimated in-hands date
If anything needs adjusting — quantity, product swap, rush option — we revise the quote the same day.
Step 3 — Send Your Artwork (Day 2–4)
Once you approve the quote, email your logo or artwork to your account manager. Preferred file formats:

Step 4 — Approve Your Free Virtual Proof (Day 4–6)
Within 24–48 business hours of receiving your artwork, we send a virtual proof — a digital mockup showing exactly how your logo will appear on the final product (colours, placement, size). Production only begins after you approve the proof in writing. Unlimited minor revisions are free.
Step 5 — Production & Canada-Wide Delivery (Days 6–21)
Standard production runs 10 to 15 business days after proof approval, followed by 1 to 3 business days of UPS/Fedex/DHL or Purolator courier shipping. Your account manager sends a tracking number the moment your order ships.
Need it faster? Rush production (5–7 business days) is available on most items for a 15–25% surcharge. Tell us your deadline in Step 1 and we’ll confirm feasibility up front.

Payment, Revisions & Changes
- Payment: Most orders are invoiced after proof approval and payable by credit card, Interac e-Transfer, or corporate cheque. Orders over $2,500 may require a 50% deposit before production.
- Order changes: Modifications are free until proof approval. After approval, changes may incur a restart fee if production has already begun. Contact your account manager immediately by phone at 1-888-977-1075 or email.
- Cancellations: Orders can be cancelled at no cost until proof approval. After approval, cancellation fees apply depending on production stage.
